LEGAL ASSISTANT

DEPARTMENT - Trusts & Estates/ Private Client

PURPOSE OF THE JOB:

This position involves working as part of a team providing secretarial and administrative support to the fee earners, and primarily within the group supporting the TEP department.

The role also supports the provision of a high quality legal service, at a reasonable cost to the Client and active promotion of the firm's business.

The position requires active participation in a team environment committed to the standards and objections set out in the firm's Vision Statement and the Business Plan.

GENERAL DUTIES AND RESPONSIBILITIES:

· Preparing/ typing letters, documents, agreements and memoranda using the PC

· Ensuring that new and existing files are fully compliant with the records required by SOS and by our internal file management rules

· Assisting fee earners with simple IT/ Word/ SOS problems/ enquiries

· Ensuring that all information concerning clients and their affairs is kept confidential

· Dealing with all administrative procedures as set out in the Office Manual

· Proof reading letters and documents produced to ensure their accuracy

· File management on the PC

· Filing on a daily basis

· Maintaining a Diary for the Fee Earner, entering Client visits, appointments, meetings and lunches and chasing up any outstanding letters or matters

· Taking telephone calls, dealing effectively with those calls and ensuring that any messages are delivered straight away to the relevant fee earner

· Taking other calls as required to assist with the efficient running of the team

· Photocopying letters, documents, etc and sending faxes and emails

· Attending to the opening of files and ensuring that the necessary create forms are completed and lodged with the Cashiers Department

· Attending to the closing of old files and preparing them for archiving by General Office

· Typing Invoices and keeping a record of these

· Ensuring that sufficient levels of stationary are maintained for own and fee earner requirements

· Maintaining a Personal Training Record of all training received whilst with Meade King

· Assisting other Secretaries as and when notified by the Fee Earner or the HR Partner

· Relief cover on switchboard as required

· Storing wills and powers of attorney and release of documents in accordance with our office procedures

These duties may be varied from time to time and will be agreed with you

Salary: £21,000 per annum

JUNIOR LEGAL SECRETARY/ ADMIN ASSISTANT

DEPARTMENT - Corporate

PURPOSE OF THE JOB:

This position involves working as part of a team providing secretarial and administrative support to the fee earners, and primarily within the group supporting the Corporate department.

The role also supports the provision of a high quality legal service, at a reasonable cost to the Client and active promotion of the firm's business.

The position requires active participation in a team environment committed to the standards and objections set out in the firm's Vision Statement and the Business Plan.

GENERAL DUTIES AND RESPONSIBILITIES:

· Dealing with all administrative procedures for the department as set out in the Office Manual

· Scanning all incoming post and filing on a daily basis and distributing by email to each relevant member of the department

· File management on the shared computer network

· Preparing/typing letters, documents, agreements and memoranda

· Proof reading letters and documents produced to ensure their accuracy

· Ensuring that new and existing files are fully compliant with the records required by SOS and by our internal file management procedures in the Office Manual. All files in our department are paperless

· Attending to the opening and closing of client matter files and preparing them for archiving by General Office

· Typing Invoices and keeping a record of these

· Managing documents to be shared in our online client datarooms

· Assisting fee earners with simple IT/ Word/ SOS problems/ enquiries

· Attending departmental and team meetings and take minutes if requested

· Ensuring that all information concerning clients and their affairs is kept confidential

· Maintaining the departmental diary of key dates and holidays

· Entering Client visits, appointments, meetings and lunches in individual diaries for fee earners

· Taking telephone calls, dealing effectively with those calls and ensuring that any messages are delivered straight away to the relevant fee earner

· Ensuring that sufficient levels of stationary are maintained for own and fee earner requirements

· Maintaining a Personal Training Record of all training received whilst with Meade King

· Assisting other Secretaries as and when notified by the Fee Earner or the HR Partner
